How a Google Calendar link works
Google Calendar accepts a URL format for creating pre-filled events: https://calendar.google.com/calendar/render?action=TEMPLATE&text=TITLE&dates=START/END. When opened, the person sees a new event screen with the details already filled in and only has to press “Save”.
The main parameters are:
text: the event title.dates: start and end date and time, separated by a slash, in the formatYYYYMMDDTHHMMSSZ(UTC). Example:20261015T150000Z/20261015T160000Z.details: the event description.location: the place or the meeting link.
Writing dates in UTC by hand is awkward and easy to get wrong. QLinky automatically converts the date and time you choose to UTC, so the event shows at the right time no matter which time zone the person opening the link is in.
When an “Add to calendar” link is worth using
- Webinars, workshops and online events: people who sign up can save the date with one tap and get the reminder.
- Appointment or booking confirmation emails: fewer no-shows because the event sits in their calendar.
- Meeting or call invitations: share a single URL instead of coordinating over messages.
- Landing pages and newsletters: an “Add to my calendar” button that requires no coding.
Tips and limits worth knowing
- Include the video call link in the location field or in the description, so it is saved inside the event.
- Check the time before sharing. Open the link with the “Open in Calendar” button and confirm the date and time are what you expect.
- The event isn't added by itself. The person must be signed in to Google and press “Save”; the link only prepares it.
- This link is for Google Calendar. Outlook or Apple Calendar need an .ics file, which is a different format.
What this generator doesn't do (and how to do it by hand)
The generator covers the most common case: an event with a date, time, location and description. The Google Calendar format also supports:
- All-day events: dates without a time, with the end date set to the following day.
dates=20261015/20261016is a single-day event. - Recurring events: add
&recur=RRULE:FREQ=WEEKLY;COUNT=4to repeat it for four weeks. - Pre-filled guests:
&[email protected].
You can generate the link here and append those parameters at the end. They are explained one by one in the Google Calendar parameters guide.
Frequently asked questions
How do I create a link that adds an event to Google Calendar?
Type the title, choose the start and end date and time, add a location and description if you want, and press “Generate Calendar link”. Copy the resulting URL and share it; when opened, Google Calendar will show the event ready to save.
Does the person need a Google account?
Yes. To save the event they must sign in to their Google account, because the link opens Google Calendar.
Is the event added automatically when the link is opened?
No. The link opens the new event screen with all the details filled in, but the person must press “Save” for it to be added to their calendar.
Does the link take the time zone into account?
Yes. QLinky converts the date and time you enter to UTC, so the event shows correctly in each person's calendar, no matter which time zone they are in.
Does it work with Outlook or Apple Calendar?
No. This link uses the Google Calendar format. Outlook or Apple Calendar need an .ics file.
Can I put a Google Meet or Zoom link in the event?
Yes. Paste the meeting link in the location field or in the description and it will be saved inside the event.
Does QLinky store my event details?
No. The link is generated in your browser and no event information is sent to or stored on any server.
